Annual Canvass

Annual Canvass is a confirmation exercise to maintain and update the Electoral Register.

 

Legislation instructs every Local Authority (Council) to run a canvass of their area every year.  The Canvass process is organised and run by the council however the council will be closely monitored by the Electoral Commission.

 

During canvass your local council will contact you asking you to confirm that the information currently on the Electoral Register for your property is correct.

 

The next scheduled Canvass will commence July 2019

A Household Enquiry Form is posted to every property within the Vale of Glamorgan

 

21 August

2019

A 1st Reminder Form (this is another Household Enquiry Form) is sent to every property that has not responded to date

28 September 2019

 

A team of Canvassers start to visit any property that has not responded to date  

All our Canvass Team Members carry photographic ID badges with them and may visit at the weekend or evenings

20 October 2019

The Canvass Team stop their property visits

 

01 December 2019

The Revised Register of Electors is published

 

 

Household Enquiry Forms (HEF)

Every property within the Vale of Glamorgan will be sent a Household Enquiry Form in the post.

 

It will show every person who is registered on the Electoral Register over 16 years of age at your property.  If no one is currently registered at your address the form will be blank for you to fill in.

 

If you do not respond to this form and any subsequent reminders then a member of the canvass team (an officer from the council) will call at your property to confirm with you in person.

  • Please read the form carefully

  • Please check that every person who is over the age of 16 living with you is listed on the form, if there is information missing or requires updating please make a note on the form.

  • Persons with "not registered" next to their name on the Household Enquiry Form indicates that our records show they are at the address but have not successfully registered to vote.

  • Please amend these records accordingly. 

 

Please note: It is important that you respond to your household enquiry form as soon as possible even if there are no changes to make to avoid a visit from our canvassing team Please respond to the form using one of the following methods

 

Respond Online

 

  1.  Logon to www.registersecurely.com/VoG

  2.  Enter your 2 unique security codes which can be found on page one of your HEF form and postcode (space within postcode)

  3. Read the information on the screen carefully and follow the instructions. Click the person's details if you would like to make any changes to their record and click edit to make changes.

  4. Follow the confirmation buttons at the bottom of the screen until finished

Your confirmation will now go to the Electoral Registration Office.  If any further action is required then the Electoral Registration Office will write to you

Freephone Automated Telephone Service

You can only use this method if your form is pre-printed.  This means that the names of individuals are already printed on the form when you receive it. 

 

It also means there is a unique security code and password, on page one of your form, in the black box

 

  1. Call 0800 06 08 799 

  2. Key in your 2 unique security codes

  3. Follow the instructions using your telephone keypad

Your confirmation will now go to the Electoral Registration Office. If any further action is required then the Electoral Registration Office will write to you.

Return Post

  1. Hand write any changes or additions on the for. If you would like to delete any information then please put a line through it

  2. Place the form into the pre-paid reply envelope provided

  3. Post the form back to the Council or drop it into the reception at the Civic Offices building in Barry

Your confirmation will now go to the Electoral Registration Office.  If any further action is required then the Electoral Registration Office will write to you.

 

Once we have received your response it will be checked by the Electoral Registration Office.

 

If you have identified any changes, additions or deletions these will be updated and processed. The Electoral Registration Office will write to you if any further action is required.

 

If you have informed us that there are no changes then this will also be confirmed on the Electoral Register.

 

If you have provided us with the name of a person who is not currently registered on the Electoral Register then we will sent them an Invitation to Register Application form in the post. They can also complete an Invitation to Register Application form online.
